Job Overview

The Financial Secretary plays a vital role in First Baptist's financial management and stewardship. This position is responsible for maintaining accurate financial records, processing contributions, and assisting with budgeting and financial reporting. The ideal candidate will have strong organizational skills, attention to detail, and a commitment to confidentiality and integrity.

Responsibilities and Duties:

Record Keeping:

• Maintain accurate and up-to-date financial records, including contributions, expenses, and budgets.

• Help establish and maintain best practices concerning financial procedures.

• Prepare and manage financial statements and reports for church leadership.

• Maintain records on church staff.

• Assist in maintaining up-to-date background checks on all staff and volunteers.

• Maintain records on all vendors including W9s and liability/worker’s compensation.

• Establish and maintain records on equipment and church facilities.

Contribution Management:

• Process all contributions and donations in a timely manner.

• Issue giving statements and receipts to congregants as required.

Budget Assistance:

• Assist in the preparation and monitoring of the church budget.

• Track expenditures and ensure compliance with the approved budget.

• Assist the board of trustees with asset management, review the annual insurance program, and provide recommendations.

Accounts Payable/Receivable:

• Manage accounts payable and receivable, including processing invoices and payments.

• Reconcile bank statements and financial accounts regularly.

Financial Reporting:

• Prepare monthly and annual financial reports for church leadership.

Communication:

• Serve as a point of contact for financial inquiries from church members and staff.

• Work collaboratively with church leadership and committees on financial matters.

Confidentiality:

• Maintain strict confidentiality of financial information and donor records.

Qualifications:

• A person who is a committed follower of Jesus Christ

• A bachelor’s degree in finance, accounting, or a related field is preferred.

• Previous experience in accounting, bookkeeping, or financial management, preferably in a church or non-profit setting.

• Proficient in accounting software (e.g., QuickBooks, Microsoft Excel) and financial reporting tools and a willingness to learn Realm software.

• Strong organizational and time management skills.

• Excellent attention to detail and accuracy.

• Ability to communicate effectively and work well with a diverse group of people.

• Strong ethical standards and a commitment to the mission of the church.

Work Environment:

• This position may require occasional evening or weekend hours for church events and meetings.

• The Financial Secretary will work in a church office environment and may interact with various church members and staff.
